Software Needed:

  1. Palm with 8MB RAM connected to PC
  2. Full Aeries Install (not runtime)
  3. Palm Macro from Eagle Software (posted at www.pasoschools.org/palm)
  4. Pendragon Client (Forms 3.2) installed onto a 8MB Palm Device. (www.pendragonsoftware.com)
  5. Microsoft Access 97 Installed
  6. Palm security software such as EasyLock ($5.00) from http://www.dseifert.de/easylock.
  7. HackMaster (posted at www.pasoschools.org/palm)
  8. PDA Secure Application from TrustDigital. (www.trustdigital.com)

    The basic process revolves around four of the following areas:

    Importing the Palm Macro into Aeries

1. Querying Students

2. Exporting into a Microsoft Access Database.

3. Creating the form in Pendragon and putting it in the Palm

4. Exporting the student data from the Microsoft Access file into the Palm via the hotsync conduit provided with Pendragon.

 

Create Access Database

Steps:

Create an Access Database titled "students.mdb"

Extract Data from Aeries and Export into Access

 

Obtain a local copy of your school's database file. (eg. get a copy of the database onto your computer).

 

Go to Query

 

Run a query with the following statement:

KEEP STU IF GR=X

x=grade level 6,7,8 9,10,11,12 or just don’t a keep if you want all students.

Close the table after it opens

Hit F11 key to bring up the macro window. Run the "Create the Palm Pilot Table of Classes.

The macro will crunch data and put it in a table titled "usysPALM".

 

 

Open the table "usysPALM" and export the data to the Students.mdb file that was created in step 1:

Keep this table in a consistent place on your computer. Pendragon will import this data and the file location must be static.

Repeat step 2-6 for each grade level. Be sure to RESET after each keep statement

 

Creating Pendragon Forms on Palm Device and Importing Data

Open Pendragon and select Import

 

 

Select "Import Access Table Design"

 

 

 

Select the Access Student.mdb database

 

 

Import one class:

 

Title the form using a descriptive title such as <schoolname> 8th grade class. This is the same name that will show to your users on the Palm Device.

 

Select Edit

 

 

Order the fields as you want them. Using the up/down arrow on the left side of the screen. Place the ID Number field last.

 

 

Once completed, close this window and go back to Pendragon. Select Properties and Freeze the form.

 

Once the form is frozen, click on the field mappings button and point Pendragon to the students.mdb access file.

Pendragon will then map the Pendragon forms fields with the data in the students.mdb file.

Answer "yes" when Pendragon asks to point to the new data source.

 

Click on the Advanced Properties button.

Increase the storage size from 500k to 2000k.

Select the "Default to Record View" checkbox.

You may also select "hide delete button" depending on the user…

Click "OK" when complete

 

 

CTRL click on the Advanced Properties button again:

Select the "Sync data only when distributed" checkbox. This makes Pendragon sync only when there is a new form distributed. This will GREATLY increase sync times.

Close when completed.

Click "OK" at the Forms Properties window

 

Step LAST

Press on the "Distribute" button in Pendragon.

Sync the Palm as usual. The Student Data will appear in the Forms 3.2 Palm program.

Repeat steps 19-28 for each class/grade level.
